Matchbox Conversions Ltd

1. Introduction

These Terms and Conditions apply to all campervan conversions provided by Matchbox Conversions Ltd . By paying a deposit or proceeding with a booking, the Client enters into a legally binding agreement.

2. Scope of Work & Design

  • Specifications: The conversion includes the layout, materials, and technical specifications confirmed in the final Build Sheet.

  • Variations: Any requested changes after the Build Sheet is signed must be agreed upon in writing and may incur additional "Change Order" fees.

3. Quotations & Pricing

  • Validity: Quotes are valid for 30 days from the date of issue.

  • Market Fluctuations: Quotes are based on current material and labor costs. The Company reserves the right to adjust pricing if significant market increases occur prior to the deposit being paid.

  • Exclusions: Unless stated otherwise, quotes exclude the cost of the base vehicle, road tax, and insurance.

4. Deposits & Payment Terms

  • Booking Deposit: A non-refundable £3000(+VAT) deposit is required to secure a build slot.

  • Payment Schedule:

    1. Interim Payment: If applicable, as outlined in your specific project quote.

    2. Final Balance: Due in full prior to or on the day of collection.

  • Vehicle Release: No vehicle will be released, and ownership of materials will not transfer, until the final balance has cleared in the Company's bank account.

5. Build Timeframe

  • Estimated Duration: The Odyssey conversion typically requires 6 weeks.

  • Delays: Timeframes are estimates only. The Company is not liable for delays caused by:

    • Third-party supplier shortages or shipping delays.

    • Discovery of defects in the base vehicle.

    • Client-requested design changes.

6. Communication & Consultations

To maintain workshop efficiency, the project price includes up to 5 hours of total client contact time (including in-person meetings, phone calls, and digital messaging).

  • Overage: Additional consultation time will be billed at £52 (+VAT) per hour.

  • Project Updates: The Company will provide milestone updates at its discretion to ensure the build remains on schedule.

7. Client Responsibilities

  • Vehicle Delivery: The vehicle must be delivered to our premises on the agreed date and in a clean condition.

  • Late Delivery Penalty: Failure to deliver the vehicle on the agreed date will result in a £50 per day rescheduling fee to cover lost workshop capacity.

  • Disclosure: Any known mechanical, electrical, or structural faults must be disclosed. We are not responsible for pre-existing issues or their impact on the conversion.

  • Insurance: The vehicle must remain fully comprehensively insured by the Client at all times while on our premises.

8. Warranty & Aftercare

  • Workmanship: A 12-month warranty is provided on the labor and installation of the conversion.

  • Components: Appliances (fridges, heaters, etc.) are covered by their respective manufacturer warranties.

  • Return to Base: All warranty claims require the vehicle to be returned to the Matchbox Conversions Ltd workshop at the Client’s expense.

  • Exclusions: This warranty does not cover fair wear and tear, misuse, accidental damage, or any modifications made by third parties after collection

9. Liability

  • The Company’s total liability is limited to the total value of the conversion work carried out.

  • The Company is not liable for indirect losses, loss of profit, or "loss of use" expenses (e.g., car hire or holiday cancellations) due to build delays or warranty issues.

10. Cancellation & Storage

  • Cancellation: Deposits are strictly non-refundable. If a project is cancelled after work has commenced, the Client is liable for the cost of all labor completed and materials ordered to date.

  • Collection: Vehicles must be collected within 7 days of the completion notice.

  • Storage Fees: A storage fee of £25 per day will apply to vehicles left beyond the 7-day grace period unless otherwise agreed in writing.

11. Marketing

  • The Company reserves the right to take photographs and videos of the vehicle for promotional and social media purposes. All personal identifiers (such as registration plates) will be obscured unless permission is granted.

12. Governing Law

These Terms are governed by the laws of England and Wales.

By paying your deposit, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions.
